A recent phenomenon that’s becoming more pervasive in SHAREit is that
libraries are deleting their borrower requests once they have returned the item to the loaning library.
Please do not do that!
It is understood that some libraries feel like the “Completed” items list gets too big and they want to clear it out. However, using the DELETE command in SHAREit has significant ramifications and is creating chaos for the library on the other end.
Why is deleting the requests a problem?
When you delete a request in SHAREit, it DISAPPEARS from the Request Manager of BOTH libraries during overnight processing, not just yours.
And without the Request #, there is no way for anyone, including HSLC support, to pull up that information. Marking the request DELETE removes it from the active tables entirely and it can only be accessed through SQL commands, not in the interface.
The reason items stay in completed status for the length of time that they do (120 days) is that once items move out of completed status, they move to Delete and the above applies. Additionally, there are participants in Access PA whose stakeholders require them to be able to report on and answer questions about their items loaned (mostly schools, but there are others) and they need that window of opportunity to continue to access the information.
